With all of these tips, you’re ready to start your first meeting via zoom! If you are nervous about leading this meeting, that is totally okay!

Many times, people get nervous when they do their job for the first time and there are things going on around them or in their area. Or maybe they are even a little bit scared of making a mistake while speaking.

Don’t worry too much about any of those things though! You have gone through similar experiences before, and you already know how to fix most mistakes, so don’t stress out over that.

What you should be worried about is if you know what you want to say but you just can’t seem to find the right way to say it.

With all of the different ways that people can connect via technology these days, it is easy to get distracted. Since most meetings online are interactive, someone could easily interrupt or end the meeting because they wanted to do something else more important than watch you speak!

That is why it is very important to keep the conversation focused. Make sure to include relevant topics and bring up things when needed so people feel invited to join in.

By having this rule, there will be no need to start and stop talking due to external reasons.

Even if you’re running low on ideas, don’t stop meeting! The most productive meetings start with an agenda item that someone brings up.

That’s why I’d like to talk about something we call “cea-how.” The ceca-how comes from the word “zoom,” because it helps us understand the value meeting quality adds over quantity.

I use this term here to refer to two things:

The first is our acronym CEAA (Conversation, Effect, Application). This sounds very academic, but it really boils down to what matters most when it comes to meetings. It starts with talking about things mattering, moves onto doing things, and ends with applying lessons learned to next steps.

Too often I see teams wasting their time at meetings by spending more time talking than getting into action. Or they might spend lots of time discussing something that has little application to next tasks.

By skipping these parts, they’re not investing in themselves or the team. Plus, they’re depriving themselves of important learning experiences.

This isn’t just bad for them, but also for the organization.

Enforce some structure

As mentioned before, one of the biggest reasons why people get stuck in meetings is because there’s not enough planning done upfront!

Too many groups begin with an agenda item that everyone agrees upon, but then nothing gets discussed until later.

It can become very tiring for all involved to be at the meeting wondering what will happen next. Or even worse, someone may leave the meeting without doing anything because they didn’t know what was going on.

By having a starting point and ending point for each topic, it helps make sure that things are covered efficiently and pleasantly. This also helps prevent delays since you're not needing to find something new to talk about every time a person comes into the room.

You can instead choose to hold meetings via video chat or even voice call. This can be much more cost effective as well!

Many large corporations make heavy use of zoom meetings as an effective way to communicate. They may even offer them as standard practice.

By adding video technology to the mix, it becomes easier to collaborate and discuss things face to face. This is especially helpful for topics that can’t be easily conveyed through text or voice only.

Not only does this save money due to the cost of traveling, but it also cuts down on pollution which benefits our health.

If you are hosting a meeting via zoom, making sure everyone has what they need (cables, headphones, etc) must be prepared ahead so there are no complaints later.
